Why the third message is different

The first two reminders are social. They work because most late payment is disorganisation rather than refusal, and a person who has genuinely forgotten responds well to being reminded gently. Roughly half of overdue invoices clear on the first or second nudge without anything more.

The third message is not social. It states a position: the invoice is overdue by a specific number of days, an amount is owed, and a consequence exists. If you are a registered micro or small enterprise, that consequence is statutory rather than contractual, and saying so changes who is on the back foot. Interest under section 16 of the MSMED Act is not something the buyer agreed to and cannot decline.

What not to put in a reminder

Do not apologise for sending it. Opening with "sorry to bother you about this" tells the reader the request is optional. Do not explain your own cash position; it makes the invoice about your difficulty rather than their obligation. Do not threaten anything you will not do, because a threat you do not follow through on is worse than no threat at all.

Do include the invoice number, the amount, the due date and how to pay, in every single message. A surprising share of unpaid invoices are unpaid because the person who wants to pay cannot quickly find the bank details.

Common questions

How many reminders should I send before escalating?
Three is a reasonable rhythm: a short note a few days after the due date, a firmer one at two weeks, and a formal notice at four to six weeks that references the statutory position. Escalating faster than that damages relationships. Escalating slower teaches the customer that your terms are decorative.
Should I mention interest in the first reminder?
No. The first message should assume the invoice was simply missed, because most of the time it was. Mentioning interest immediately reads as an accusation and puts a person who would have paid on the defensive. Save it for the third message, where it carries weight.
Is a WhatsApp reminder acceptable?
For the first two, usually yes, and it often gets read faster than email. For the formal notice, send email so there is a record with a timestamp, and keep the message factual. If it later becomes a dispute, what you can produce matters more than what you sent.
Who should the reminder go to?
The person who approves payment, not the person who ordered the work. Those are different people in most companies above about ten staff, and reminders sent to the wrong one sit unactioned indefinitely. Ask for the accounts contact at the time you take the order, not at the time you chase.
